Senior Litigation Secretary

Location: La Jolla (UTC Area), San Diego, CA
Schedule: Full-Time | Hybrid (2 Days In Office, 3 Days Remote)
Hours: Monday-Friday, 8:00 AM-5:00 PM
Compensation: $85,000 - $114,321 annually

About the Opportunity

A leading labor and employment law firm in the La Jolla/UTC area is seeking an experienced Senior Litigation Secretary to support a busy team of attorneys handling state and federal civil litigation matters. This position is ideal for a highly organized legal professional with strong litigation support experience, exceptional attention to detail, and the ability to manage cases from inception through trial.

The successful candidate will have extensive knowledge of California state and federal court procedures, litigation calendaring, e-filing, discovery, and document preparation. We are also looking for someone who is adaptable, teachable, and thrives in a fast-paced legal environment.

Key Responsibilities

  • Prepare, revise, format, proofread, and finalize pleadings, briefs, motions, discovery, correspondence, and other legal documents.
  • Create litigation document shells and ensure compliance with applicable court rules and filing requirements.
  • File legal documents electronically in California state courts and federal courts.
  • Maintain litigation calendars, track deadlines, and perform docketing functions using court rules and calendaring software.
  • Assist attorneys throughout the entire litigation lifecycle, from case opening through trial preparation and resolution.
  • Support discovery processes, including document production, subpoenas, and deposition coordination.
  • Schedule hearings, depositions, court reporters, videographers, and meetings.
  • Coordinate attorney travel arrangements and expense reimbursements.
  • Maintain and organize client files and case records within the firm's document management systems.
  • Enter, review, and revise attorney time entries accurately and timely.
  • Review vendor invoices and process payment requests.
  • Provide professional telephone and administrative support to attorneys and clients.
  • Generate and update Tables of Contents and Tables of Authorities for court filings.

Qualifications

Required

  • Minimum 5 years of litigation secretary experience in a law firm environment.
  • Strong experience supporting state and federal civil litigation matters.
  • Thorough understanding of California court rules, filing procedures, and litigation deadlines.
  • Experience with litigation docketing and calendaring.
  • Knowledge of discovery procedures and litigation workflows.
  • Ability to independently prepare document templates, finalize filings, and locate applicable court rules and forms.
  • Advanced proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
  • Experience with electronic filing systems, including PACER and ECF.
  • Excellent proofreading, organizational, and time-management skills.
  • Strong interpersonal and communication skills.

  • Experience supporting Labor & Employment litigation.
  • Bachelor's degree or equivalent combination of education and experience.

  1. State and Federal Civil Litigation Experience

    • Ability to prepare litigation document shells, finalize filings, and navigate applicable court rules.
    • Strong familiarity with California Rules of Court and federal court procedures.

    • Experience calculating deadlines, maintaining litigation calendars, and ensuring compliance with court rules.
  3. Teachability and Flexibility

    • Strong willingness to learn new systems and processes.
    • Adaptable, collaborative, and able to support changing attorney and client needs.

Work Schedule

  • Hybrid schedule: 3 remote days and 2 in-office days weekly following successful onboarding.
  • First month of employment will be fully onsite for training and integration.
  • Employees may select their remote workdays, with consistency expected thereafter.
